How do I archive and restore emails in SendFox?

To archive an email in SendFox, click the trash-can icon on its row on the Emails page. You can restore it any time from the Archived tab, next to Sent.

What happens when you archive an email?

Archiving tidies your Emails page without losing anything. You can archive drafts, scheduled emails and sent emails on every plan, and bring any of them back later.

  • It leaves your email lists. An archived email no longer shows under All, Drafts, Scheduled or Sent; it moves to the Archived tab.
  • Its results stay saved. Opens, clicks and delivery figures are kept, and they're all there again when you restore the email.
  • A scheduled email won't send while it's archived.
  • It comes off your Smart Page. If the email was published to the web, it isn't shown on your Smart Page while it's archived, and its web link doesn't open. Restoring it puts it back.

Automation emails don't appear on the Emails page, so you manage them inside the automation instead.

How do I archive an email?

  1. Click Emails in the top nav.
  2. Find the email. Use the tabs or the search box if the list is long.
  3. Click the trash-can icon (Archive) at the end of the email's row.
  4. In the Archive email window, click Archive.

A message then says “[subject] was archived.” with two links: Undo brings the email straight back, and See archived emails opens the Archived tab. The message stays until you close it, so you have time to change your mind.

Archiving a confirmation email

You can archive a confirmation email only if you have more than one; your last confirmation email has no trash-can icon. When you archive one that lists are using, the Archive email window names those lists and the confirmation email they'll switch to. Undo brings back the email only: your lists keep their new confirmation email.

Where do I find my archived emails?

On the Emails page, click Archived, the last tab after Sent. It shows how many emails you've archived and lists the most recently archived first, so an email you archived by mistake is at the top. Use the Search archived emails box to find an older one.

Each row shows the email's status when it was archived (Draft, Scheduled, Was scheduled, Sent, Was sending or Confirmation) and the date you archived it. Sent emails also show how many were delivered, opened and clicked. Archived emails stay on this tab until you restore them.

How do I restore an archived email?

  1. Click Emails in the top nav, then the Archived tab.
  2. Click Restore on the email's row.
  3. If a Restore email window opens, read what will happen and click Restore (or Restore as draft).

The email goes back to your emails, and the message that confirms it has an Open it link. What it comes back as depends on its status:

  • A draft or a sent email comes back just as it was, with a sent email's results intact.
  • A scheduled email whose time is still ahead stays scheduled and sends at that time. You can change the time or unschedule it in the editor.
  • A scheduled email whose time has passed (marked Was scheduled) comes back as a draft, so nothing sends by surprise. Open it and pick a new send time when you're ready.
  • An email marked Was sending had stopped partway through sending before it was archived. Restoring it finishes the send to the contacts who haven't received it yet, within a few minutes.
  • A confirmation email comes back, but your lists keep the confirmation email they use now, so nothing changes for new subscribers. To use the restored one again, choose it in a list's settings.

Troubleshooting

I don't see the trash-can icon on an email

  • It's your only confirmation email. Every account keeps at least one, so that one can't be archived.
  • Your account is restricted or on a billing pause. Archiving isn't available until your account is active again. For a restriction, see Why is my SendFox account paused or restricted?

Restore takes me to Account status

The message “This action is unavailable while your account is restricted.” means you can't restore emails while your account is restricted or on a billing pause. You can still see the Archived tab. Once the account is active again, Restore works as usual. For a billing pause, see How do I cancel SendFox, delete my account or get a refund?

My restored email came back as a draft

Its scheduled time passed while it was archived, so SendFox returned it as a draft instead of sending it late. Open it and schedule it again: see How do I create and send an email in SendFox?

Frequently Asked Questions

Does archiving an email delete its results?

No. An archived email keeps its opens, clicks and delivery figures, and the Archived tab shows its delivered, opened and clicked numbers. Restore it to see the full report again.

Does archiving give me back sends?

No. Emails you've already sent still count toward your send limit after you archive them. An archived scheduled email doesn't send, so it doesn't use any sends while it's archived.

Can I open or edit an archived email?

No. Archived emails can't be opened from the Archived tab. Click Restore first, then open the email from its usual tab or with the Open it link.

Is an archived email still on my Smart Page?

No. A published email is hidden from your Smart Page while it's archived and comes back when you restore it. To take an email off your Smart Page without archiving it, unpublish it instead: see How do I publish an email to the web?
